Objective:<\/strong> Create, import, monitor, and manage Voucher Sets and their voucher inventory.<\/p>\n\n\n\n

Overview<\/h2>\n\n\n\n

Voucher Sets are used to upload and manage pools of voucher codes. Once available, codes can be distributed to internal users or allocated through Voucher Campaigns and ecosystem workflows.<\/p>\n\n\n\n

Voucher Sets main page<\/h2>\n\n\n\n

Open the Voucher Sets<\/strong> application to view all Voucher Sets available to your administrator profile.<\/p>\n\n\n\n

The main table provides a quick operational view of each Voucher Set:<\/p>\n\n\n\n

  • Voucher Set Name:<\/strong>\u00a0Identifies the Voucher Set.<\/li>\n\n\n\n
  • Type:<\/strong>\u00a0Shows whether the set is Local or Ecosystem.<\/li>\n\n\n\n
  • Status:<\/strong>\u00a0Shows the current lifecycle status, such as Active or Expired.<\/li>\n\n\n\n
  • Publisher:<\/strong>\u00a0Identifies the publisher associated with the Voucher Set.<\/li>\n\n\n\n
  • Start Date:<\/strong>\u00a0Shows when vouchers become available for distribution.<\/li>\n\n\n\n
  • End Date:<\/strong>\u00a0Shows when distribution availability ends.<\/li>\n\n\n\n
  • # Assigned:<\/strong>\u00a0Shows how many voucher codes have been assigned.<\/li>\n\n\n\n
  • # Claimed:<\/strong>\u00a0Shows how many voucher codes currently have Claimed status.<\/li>\n\n\n\n
  • # Unassigned:<\/strong>\u00a0Shows how many voucher codes remain unassigned.<\/li>\n<\/ul>\n\n\n\n

    Search and filter Voucher Sets<\/h2>\n\n\n\n

    Use Search<\/strong> and Filters<\/strong> to locate Voucher Sets quickly without changing the underlying data.<\/p>\n\n\n\n

    1. Click Filters to open the filter panel.<\/li>\n\n\n\n
    2. Set a From and To date when you want to limit the list by date range.<\/li>\n\n\n\n
    3. Select an Owner when you want to display Voucher Sets managed by a specific owner.<\/li>\n\n\n\n
    4. Select one or more Status values: Active, Deactivated, Archived, or Expired.<\/li>\n\n\n\n
    5. Select a Publisher when you want to limit results to a specific publisher.<\/li>\n\n\n\n
    6. Click Clear to remove all selected filters.<\/li>\n\n\n\n
    7. Use the Search field to find a Voucher Set by name, then click Search.<\/li>\n<\/ol>\n\n\n\n

      Note:<\/strong> You can combine filters with the Search field to narrow the list further.<\/p>\n\n\n\n

      Main-page actions<\/h2>\n\n\n\n

      Use the Add<\/strong> button to create a new Voucher Set. Use the three-dot menu for application-level voucher actions.<\/p>\n\n\n\n

      • Upload Results:<\/strong>\u00a0Opens the workflow used to upload voucher redemption or exam-result data.<\/li>\n\n\n\n
      • View Archived:<\/strong>\u00a0Displays archived Voucher Sets.<\/li>\n\n\n\n
      • View Notification Settings:<\/strong>\u00a0Opens notification configuration for voucher workflows.<\/li>\n<\/ul>\n\n\n\n

        Voucher Set actions<\/h2>\n\n\n\n

        Each Voucher Set has its own three-dot menu. Available actions can depend on the set status and your permissions.<\/p>\n\n\n\n

        • View Report:<\/strong>\u00a0Opens reporting data for the selected Voucher Set.<\/li>\n\n\n\n
        • Audit Trail:<\/strong>\u00a0Reviews recorded voucher activity, including status changes and actions.<\/li>\n\n\n\n
        • Delegate User(s):<\/strong>\u00a0Grants other node users management or reporting access to the Voucher Set.<\/li>\n<\/ul>\n\n\n\n

          Note:<\/strong> Delegated users should receive only the access level required for their role.<\/p>\n\n\n\n

          Create a new Voucher Set<\/h2>\n\n\n\n

          Click Add<\/strong> on the Voucher Sets main page and select the option to create a new Voucher Set.<\/p>\n\n\n\n

          Complete the fields in the Create<\/strong> tab:<\/p>\n\n\n\n

          • Type (Required):<\/strong>\u00a0Select Local for internal distribution or Ecosystem for partner-node allocation.<\/li>\n\n\n\n
          • Name (Required):<\/strong>\u00a0Enter a clear, descriptive Voucher Set name.<\/li>\n\n\n\n
          • Validity Start Date (Required):<\/strong>\u00a0Select the date vouchers become available for distribution.<\/li>\n\n\n\n
          • Validity End Date:<\/strong>\u00a0Select the date voucher distribution should end.<\/li>\n\n\n\n
          • Publisher (Required):<\/strong>\u00a0Select the publisher that owns or provides the voucher inventory.<\/li>\n\n\n\n
          • Owner:<\/strong>\u00a0Select the administrator responsible for the Voucher Set.<\/li>\n\n\n\n
          • Description:<\/strong>\u00a0Add optional context, purpose, or operational notes.<\/li>\n<\/ul>\n\n\n\n

            Save the Voucher Set before loading voucher codes. After the set is created, open the Upload<\/strong> tab.<\/p>\n\n\n\n

            Upload tab and voucher inventory filters<\/h2>\n\n\n\n

            Use the Upload<\/strong> tab to review inventory, filter voucher codes, and add new codes to the set.<\/p>\n\n\n\n

            The summary cards show Quantity Total<\/strong>, Quantity Assigned<\/strong>, Quantity Claimed<\/strong>, and Quantity Remaining<\/strong>.<\/p>\n\n\n\n

            Use the Status<\/strong> filter to display voucher codes by lifecycle state:<\/p>\n\n\n\n

            • Unassigned<\/li>\n\n\n\n
            • Assigned<\/li>\n\n\n\n
            • Claimed<\/li>\n\n\n\n
            • Redeemed<\/li>\n\n\n\n

            • Failed<\/li>\n<\/ul>\n\n\n\n

              Use the Search<\/strong> field to find a specific voucher code or matching inventory record. Click Add<\/strong> to open the voucher import workflow.<\/p>\n\n\n\n

              Import voucher codes<\/h2>\n\n\n\n

              From the Upload tab, click Add<\/strong> and open the voucher upload option.<\/p>\n\n\n\n

              1. Prepare an .xlsx file containing a Voucher # column with the voucher codes.<\/li>\n\n\n\n
              2. Optionally enter an Order Number to associate the imported codes with a purchase order.<\/li>\n\n\n\n
              3. If needed, click Download Import Template and populate the provided Excel template.<\/li>\n\n\n\n
              4. Drag and drop the file into the upload area, or click Choose file.<\/li>\n\n\n\n
              5. Click Import to upload the voucher codes.<\/li>\n<\/ol>\n\n\n\n

                Note:<\/strong> Voucher codes that were previously uploaded, including codes in another Voucher Set, are ignored.<\/p>\n\n\n\n

                Review and manage uploaded vouchers<\/h2>\n\n\n\n

                After a successful import, the uploaded vouchers appear in the inventory table.<\/p>\n\n\n\n

                The voucher table includes Voucher Code<\/strong>, Expiration Date<\/strong>, Target Node<\/strong>, User Email<\/strong>, Status<\/strong>, and Assigned Date<\/strong>.<\/p>\n\n\n\n

                Status values reflect the current voucher lifecycle. Unassigned codes are available for assignment; assigned and downstream statuses update as users receive and use the vouchers.<\/p>\n\n\n\n

                For an unassigned code, open the three-dot menu to access Edit<\/strong> or Delete<\/strong>.<\/p>\n\n\n\n

                Note:<\/strong> Delete only codes that are safe to remove from the available inventory. Preserve assigned or historically relevant codes for auditability.<\/p>\n\n\n\n

                Local and Ecosystem Voucher Sets<\/h2>\n\n\n\n

                Local Voucher Sets are intended for voucher distribution within the organization. Ecosystem Voucher Sets extend allocation to connected partner nodes.<\/p>\n\n\n\n

                For an Ecosystem Voucher Set, use the allocation workflow to select a Target Node<\/strong> and define the Voucher Quantity<\/strong> assigned to that node. The Remaining<\/strong> value indicates how many vouchers are still available for allocation.<\/p>\n\n\n\n

                Note:<\/strong> The ecosystem allocation workflow is available only for Voucher Sets created with the Ecosystem type.<\/p>\n\n\n\n

                Operational guidance<\/h2>\n\n\n\n
                  \n
                • Use descriptive names:<\/strong>\u00a0Include the program, geography, certification, or campaign when useful.<\/li>\n\n\n\n
                • Set validity dates carefully:<\/strong>\u00a0Align Voucher Set availability with the actual validity of the voucher codes.<\/li>\n\n\n\n
                • Monitor remaining inventory:<\/strong>\u00a0Use Quantity Remaining and # Unassigned to avoid running out of codes.<\/li>\n\n\n\n
                • Use delegation intentionally:<\/strong>\u00a0Separate management access from reporting-only access where possible.<\/li>\n\n\n\n
