Role:<\/strong> Administrator<\/p>\n\n\n\n

Objective:<\/strong> Review voucher approval activity and process pending voucher requests efficiently.<\/p>\n\n\n\n

1. Voucher Approvals Main Page<\/h2>\n\n\n\n

Open Voucher Approvals to review submitted voucher requests and their current approval status.<\/p>\n\n\n\n

The page combines search, status filtering, request information, and request-level actions in one view.<\/p>\n\n\n\n

Request Information<\/h3>\n\n\n\n

Use the table columns to review each voucher request:<\/p>\n\n\n\n

  • Voucher #: Shows the voucher code after a code has been assigned to the request.<\/li>\n\n\n\n
  • Email: Shows the email address of the user who submitted or received the voucher request.<\/li>\n\n\n\n
  • Submission Date: Shows when the voucher request was submitted.<\/li>\n\n\n\n
  • Approval Status: Shows the current decision state, such as Pending or Approved.<\/li>\n\n\n\n
  • Approval Date: Shows when the request was approved or rejected, when applicable.<\/li>\n\n\n\n
  • Approver: Shows the user or system account recorded as the approver.<\/li>\n<\/ul>\n\n\n\n

    Pending requests can display blank Voucher #, Approval Date, or Approver values until a decision is completed.<\/p>\n\n\n\n

    Search and Filter Requests<\/h3>\n\n\n\n
      \n
    • Search: Enter a voucher code, email, or other supported value, then click Search.<\/li>\n\n\n\n
    • Status: Use the status dropdown to narrow the request list.<\/li>\n\n\n\n
    • Clear: Remove the active filter and restore the full list.<\/li>\n<\/ul>\n\n\n\n

      Use the column sorting controls when you need to reorder the request list by the available fields.<\/p>\n\n\n\n

      Module Navigation<\/h3>\n\n\n\n

      Open the three-dots menu beside Search to move between related voucher administration areas.<\/p>\n\n\n\n

      • Voucher Sets: Open the Voucher Sets module.<\/li>\n\n\n\n
      • Voucher Approvals: Return to the current approval queue.<\/li>\n\n\n\n
      • Voucher Dashboard: Open voucher reporting and analytics.<\/li>\n<\/ul>\n\n\n\n

        2. Process a Pending Voucher Request<\/h2>\n\n\n\n

        Locate a request with Approval Status set to Pending.<\/p>\n\n\n\n

        Click the three-dots menu at the end of the row to display the available actions.<\/p>\n\n\n\n

        Pending requests provide Approve, Reject, and View Details actions.<\/p>\n\n\n\n

        Approve a Request<\/h3>\n\n\n\n

        Click Approve to approve the pending voucher request.<\/p>\n\n\n\n

        When the confirmation dialog appears, confirm the approval to complete the action.<\/p>\n\n\n\n

        After approval, the request status changes to Approved and the approval information is recorded in the table.<\/p>\n\n\n\n

        Reject a Request<\/h3>\n\n\n\n

        Click Reject to reject the pending voucher request.<\/p>\n\n\n\n

        When the confirmation dialog appears, confirm the rejection to complete the action.<\/p>\n\n\n\n

        After rejection, the request status changes to Rejected and the decision is recorded in the approval history.<\/p>\n\n\n\n

        Actions on Completed Requests<\/h3>\n\n\n\n

        Requests that have already been processed no longer require an approval decision.<\/p>\n\n\n\n

        For completed requests, the row action menu provides View Details so administrators can review the recorded request information.<\/p>\n\n\n\n

        3. View Voucher Request Details<\/h2>\n\n\n\n

        Click View Details to open the Voucher Request Details window.<\/p>\n\n\n\n

        Review the request before closing the window.<\/p>\n\n\n\n

        • Name: User associated with the voucher request.<\/li>\n\n\n\n
        • Email: User email address.<\/li>\n\n\n\n
        • Status: Current approval status.<\/li>\n\n\n\n
        • Voucher #: Voucher code associated with the request, when assigned.<\/li>\n\n\n\n
        • Approval: Date and time recorded for the approval decision.<\/li>\n\n\n\n
        • Learning Activities: Displays the learning requirements associated with the voucher request when applicable.<\/li>\n<\/ul>\n\n\n\n

          4. Approval Workflow Notes<\/h2>\n\n\n\n

          • Only process requests that are still Pending.<\/li>\n\n\n\n
          • Review View Details before approving or rejecting when additional context is required.<\/li>\n\n\n\n
          • Use the Status filter to isolate pending requests when processing a larger approval queue.<\/li>\n\n\n\n
